Secure capture from scanners and digitisation points, with validation and automatic processing.
The point where paper becomes an electronic document
Every organisation that receives paper documents has a moment when they become files. That moment decides the quality of everything that follows: if the scan is unreadable, if a page is missing, if the file lands in a folder someone picks it up from by hand, the rest of the flow inherits the problem.
Secure capture treats this point as a controlled entry into the system, not as copying files.
What happens at capture
The scanned document goes straight into the platform, not into an intermediate folder it has to be taken from. Validations are applied at entry: the number of pages, legibility, format, the completeness of the set when the document is part of a file.
Automatic processing continues with what can be inferred without a person: the document type, the data that can be extracted from it, the register it should be registered in. What cannot be decided automatically reaches an operator, with the document in front of them and the system’s proposal next to it.
There can be several digitisation points, in different places; what matters is that they all follow the same path, with the same rules and the same trace in the log.
- direct entry into the platform, without intermediate folders;
- validations at capture: pages, legibility, format, completeness;
- automatic proposal of the document type and the register;
- the same rules for all digitisation points.
What the organisation gains
Documents are no longer lost between the scanner and the application — that seemingly short path is the usual place of losses. And what enters the system enters once, in a checked form.
For the registry, the gain is direct: the document reaches registration already prepared, with the proposed register and the extracted data, and the clerk confirms instead of transcribing.
Questions and answers
Which scanners are supported?
The actual compatibility is set at implementation, depending on the equipment you have.
Are scanned documents registered automatically?
The system proposes the register and the extracted data; confirmation stays with the operator, according to the organisation’s policy.
What happens to a badly scanned document?
The capture validations flag it before it enters the flow, so it is rescanned, not discovered two weeks later.
Is it related to GateScanner Security Dome?
They are different things. This capability concerns capture from scanners and digitisation points. GateScanner® Security Dome, which scans and verifies incoming files and blocks potentially harmful actions, is described on its own product page.
