VOGO · Agent PMO

The agent for the project management office

The plan and the Gantt chart, the critical path, risks, changes and reports — prepared and checked by the agent, following the recognised frameworks of the profession.

For the organisation's projects and for the project management chapter of bids. The project manager approves and is accountable.

Agent PMO

The discipline of the project office, kept day by day by the agent; the decision, the manager's

The agent holds together what easily drifts apart in a project: the plan, the people accountable, risks, changes and reports. The same activity codes appear in the plan, the RACI matrix, the risk register and the reports, so a report reads directly against the plan.

At every progress update it compares the schedule with the baseline, recalculates the critical path and shows the activities that have become critical. A requested change gets the analysis of its impact on scope, schedule and cost before the decision, not after.

What it states about a standard rests on that standard's sources, kept locally; what it cannot find there, it says openly.

Less record-keeping. Fewer surprises at milestones. The same accountability, the manager's.

The plan, with the critical path in view

From activities, durations and dependencies, the agent builds the plan and the Gantt chart. Critical activities stand out, the float of the others shows as a line after the bar, and milestones sit at the end of the activities they depend on.

The critical path, calculated, not drawn

For each activity: the early and late start and finish, and the float. Zero float means a critical activity; a small float puts it among the activities to watch. At every progress update the calculation runs again.

Critical path table: durations, starts and finishes, float and status of each activity

One accountable person per activity

The RACI matrix on the same codes as the plan: who does the work, who is accountable, who is consulted and who is informed. The agent checks that every activity has exactly one accountable person.

Risks, with a response and an owner

Each risk has its probability, impact, score, response and owner. The owner is a role from the RACI matrix, and the register is reassessed at every milestone.

The plan and the Gantt chart

The activities, durations, dependencies and milestones aligned with the reporting, in a plan that becomes the approved baseline.

The critical path

The float of each activity, the critical and near-critical activities, recalculated at every progress update.

WBS and RACI

The work breakdown and a single accountable person for each activity and deliverable, whoever provides the people.

The risk register

Probability and impact, the response to each risk and its owner; reassessed at every milestone.

Change control

The request, the analysis of the impact on scope, schedule and cost, the decision and the baseline update.

The reports

The inception report, the periodic reports and the final report, with progress and earned value indicators on the same activity codes as the plan.

The project registers

Requirements, issues, changes and decisions, in a single set of registers shared by everyone working on the project.

Monitoring meetings

The weekly coordination meeting, the monthly progress review against the baseline and the steering committee, with their minutes.

Escalation

Escalation levels and deadlines; what can be resequenced within the float and which decision belongs to the client.

Closure

Final acceptance, the final report, lessons learned and knowledge transfer.

The portfolio

The organisation's projects in a single register, with the status of each and the next step.

The manager decides

The agent prepares and checks; approval of the plan, the changes and the reports remains the project manager's.

The frameworks it works by

PMI and PMBOK

The process groups, from initiating to closing, and the content of the PMP and PgMP certifications.

PRINCE2 and Scrum

Stage-based control for plan, milestones and changes; incremental execution for development.

IPMA ICB4

The competences of project, programme and portfolio management.

The project schedule

Good scheduling practice: complete dependencies, critical path, baseline, updating.

Stage-based control for plan, milestones, acceptance and changes, incremental execution for development — the same approach we use in our projects and our bids.

Frequently asked questions

Does it replace the project manager?

No. The agent does the preparation and checking — the plan, the registers, the reports, the analysis of a change —, and the project manager approves them and is accountable for them.

What does it rely on when it cites a standard?

On the sources kept locally for each framework. What is not in its sources, it says so; it does not fill gaps from memory.

Does it help with bids?

Yes. It prepares the project management chapter of a bid: the methodology, the plan with milestones aligned to the reporting, the critical path, the RACI matrix, the risks and change control.

Do I need to know anything technical?

No. Type or dictate what you need, in conversation, and download the resulting documents.

Does it work for a consortium or with subcontractors?

Yes. The agent keeps one plan and one set of registers for all members, with a single accountable person for each activity, whoever provides the people, and unresolved issues move up through agreed escalation levels.

Where is project data kept?

In the organisation's folder. Processing is based on the agreement between the organisation, VOGO and the provider of the artificial intelligence service.
